How the AE committee works

The committee turns good ideas into sustainable activities. It reviews interest, volunteer support, costs and responsibilities before an event is published.

  1. Step 1

    Ideas and interest

    AEs suggest activities, explain their idea and can say whether they would like to organize it. Others can indicate their interest without committing.

  2. Step 2

    Feasibility and essential volunteers

    The committee reviews the location, timeframe, cost framework and the volunteer roles needed for reliable delivery.

  3. Step 3

    Committee vote and leader approval

    A frozen decision record, documented quorum and the required leader approvals make decisions traceable.

  4. Step 4

    Volunteers confirm tasks

    A task only becomes binding when the person explicitly confirms the effort, deadline and possible expenses.

  5. Step 5

    Publication and risk review

    Only confirmed essential roles open the publication gate. Later risks remain visible but never cancel an event automatically.

  6. Step 6

    Delivery and feedback

    After the activity, the committee reviews unavoidable costs, gathers feedback and gives the person who suggested it a personal response.
